9 best email security tools for small business (2026)

The best email security for a small business on Microsoft 365 or Google Workspace in 2026 is Sentaro, because it costs a published $6 per protected account per month with the first account free, connects over API in about four minutes without an MX change, and needs no security staff to run. The other strong options are Microsoft Defender for Office 365 Plan 1 (already inside Microsoft 365 Business Premium), Google Workspace’s built-in protection, and Barracuda Email Protection for teams that want backup and archiving in the same bundle.

Our recommendation

Sentaro is the best email security for small businesses on Microsoft 365 and Google Workspace. A small team needs three things from email security: a price it can see before talking to anyone, a setup the office manager or a part-time IT contractor can finish in one sitting, and protection against the fake invoice or the “quick favour” email from the boss, which carry no malware for a filter to find. Sentaro publishes this list and ranks itself first; scores use the method below and public vendor documentation as of 21 October 2026.

Why Sentaro wins
The price is published: $6 per protected account per month, or $68 per account per year, and the first account is free, with every feature included (prices in USD, see /en/pricing). It connects over the Microsoft 365 and Google Workspace APIs in four minutes with no MX change and no agents (see /en/platform). Detection targets payload-free fraud such as supplier bank-detail changes and CEO impersonation.
Choose Sentaro if
You are a 5 to 300 person team without a security person, you pay suppliers by bank transfer, and you want protection running today rather than after a sales cycle.
Keep Defender or Google switched on
If you have Microsoft 365 Business Premium, Defender for Office 365 Plan 1 is already paid for and is a good baseline. Sentaro is designed to run alongside it, not replace it.
Consider Barracuda or Hornetsecurity only if
You want one bundle that also covers backup, archiving and encryption, and you are fine with quote-based pricing through a reseller.

How we evaluated small business email security

A small business buys email security differently from an enterprise: there is no security team to run a tool, no budget line for a sales cycle, and fraud by email costs more than malware. The weights reflect that buyer.

CriterionWeightWhy it matters
Published price and total cost25%Small teams compare prices before they talk to anyone. A published per-user price, no minimums and everything included scores highest; quote-only scores lowest.
Setup without an IT team20%Time to protection and risk to mail flow. Native tools and API connections that leave the MX record alone score highest; gateway projects score lower.
Self-serve buying15%Can an owner sign up, start and cancel without a sales call or a reseller?
Payload-free fraud detection15%Invoice fraud, CEO impersonation and supplier bank-detail changes carry no link or attachment, and they are the attacks that cost small firms money.
Microsoft 365 and Google Workspace coverage10%Many small firms run one of each, or switch. Tools that cover both score highest.
Bundled extras15%Backup, archiving, encryption, DLP and awareness training from the same vendor. This is where suites beat focused tools, including Sentaro.

Editorial scores using the criteria and weights above; based on public documentation, not lab tests. “Not publicly documented” scores in the low-middle range, never as a capability.

The 9 best email security tools for small business

Each entry answers the questions a small-business owner asks first: what it costs, who sets it up, and what it leaves out.

  1. Sentaro

Our pickOverall score: 8.4out of 10

Best for: Small teams on Microsoft 365 or Google Workspace that want fraud protection running today at a published price.

Sentaro is an API-based email and SaaS security platform for Microsoft 365 and Google Workspace, built in Stockholm and hosted in Sweden on Microsoft Azure. An admin connects the tenant over API in four minutes, with no MX change and no agents; protection starts immediately and historical visibility follows within 15 minutes. Verdicts are automatic and alerts fire only when a decision is needed, which is what a business without a security person needs. Pricing is published at /en/pricing.[1]

    • Hosted in Sweden on Microsoft Azure; subprocessors listed in the DPA at /en/legal/dpa.

    Cons

  2. Microsoft Defender for Office 365

Best native for Microsoft 365Overall score: 7.4out of 10

Best for: Microsoft 365 tenants on Business Premium, where Plan 1 is already paid for.

Defender for Office 365 is Microsoft’s own email protection, native to Exchange Online. Microsoft documents Plan 1 as adding user and domain impersonation protection, mailbox intelligence, Safe Links and Safe Attachments on top of the built-in protection every cloud mailbox gets. Plan 1 is included in Microsoft 365 Business Premium ($22 per user per month, up to 300 users) and costs $2 per user per month on its own. For most small Microsoft 365 businesses it is the right baseline to switch on first.[3]

  3. Google Workspace built-in protection

Best Workspace baselineOverall score: 7.1out of 10

Best for: Google Workspace businesses that want to switch on what they already pay for.

Gmail’s built-in filtering comes with every Workspace plan. Google documents advanced phishing and malware protection settings in the Admin console: protection against similar-domain and employee-name spoofing, warnings on links to untrusted domains, and checks on encrypted or scripted attachments. The Gmail Security Sandbox, which detonates attachments, is in Business Standard and above but not Business Starter. Turning these settings on is the first step for any Workspace business.[6]

  4. Barracuda Email Protection

Best bundleOverall score: 6.6out of 10

Best for: Small businesses that want email security, backup and archiving from one vendor.

Barracuda Email Protection connects over API without MX changes and, by the vendor’s description, is “operational in minutes, not weeks”. Its three plans (Advanced, Premium, Premium Plus) stack phishing and BEC protection, account-takeover detection, DMARC reporting, encryption and DLP, then Microsoft 365 backup and cloud archiving with awareness training at the top. No plan price is published on barracuda.com. If one contract for everything matters more than price transparency, it is the most complete bundle here.[11]

Best for: Small businesses that want phishing simulation and awareness training in the same product.

IRONSCALES protects mailboxes over API alongside any existing filter and says it “deploys in minutes, no MX changes”. It builds behavioral baselines per mailbox and adds crowdsourced intelligence from its customer community; the vendor reports 18,000+ organizations and 3,000+ MSPs. 6. Check Point Harmony Email

    Overall score: 6.3out of 10

Best for: Small businesses that also want Slack, Teams and file-sharing apps scanned by the same tool.

Check Point Harmony Email & Collaboration (formerly Avanan) connects over API and can be set from monitor mode to inline prevention, which inspects messages before they reach the inbox. It also scans Teams, Slack, OneDrive, SharePoint, Google Drive, Box and Dropbox. Check Point publishes four tiers but no prices. It is a strong product built for companies of every size; for a small business the main friction is buying it.[9]

Proofpoint Essentials is Proofpoint’s SMB line, sold through MSPs and resellers and deployed as an MX gateway. Proofpoint does not publish a price list; one US reseller lists Business at $3.93, Advanced at $5.37 and Professional at $8.14 per user per month for 1 to 25 users, with Plus variants that add AI-based BEC detection and warning tags. How to choose email security for a small business

Start with what you already pay for. If you are on Microsoft 365 Business Premium, Defender for Office 365 Plan 1 is included: check that its preset Standard or Strict policy is applied. If you are on Google Workspace, open Admin console > Gmail > Safety and switch on the advanced phishing and malware settings. That costs nothing and closes the gap for bulk phishing and known malware.

Then ask what the native layer is not built for. Microsoft and Google filter at scale and are good at known-bad links and files. The emails that cost small businesses money usually have neither: a supplier “updating” bank details in a real thread, an email that looks like it is from the owner asking for a quick transfer, or a QR code that leads to a fake Microsoft login. The FBI’s Internet Crime Complaint Center counted $3.05 billion in reported business email compromise losses in 2025, about $123,000 per complaint (FBI IC3, 2025).

Five questions to ask any vendor

  • What does it cost for our exact number of mailboxes, and is that price written down anywhere public? Are there minimums or annual commitments?
  • Does it change our MX record or mail routing? If it does, what happens to mail if the service is down?
  • Who looks at the alerts? If the answer is “your IT person”, how many alerts a week should we expect?
  • How does it detect an invoice-fraud email that has no link and no attachment?
  • Where is our mail processed and stored, and where is the subprocessor list?

Focused tool or all-in-one bundle?

Bundles such as Barracuda, Hornetsecurity 365 Total Protection and TitanHQ put backup, archiving and training under one contract, usually quote-based through a reseller. Focused tools such as Sentaro do one job, detection, and leave backup and archiving to what you already have; Microsoft 365 and Google Workspace both include retention options. If you have no backup at all, solve that first. If you have backup and want fraud protection running this week, a focused tool is faster and cheaper to start.

What the first month looks like with Sentaro

You sign up at app.sentaro.com/signup; the first protected account is free. An admin connects Microsoft 365 or Google Workspace over API, which takes about four minutes, and Sentaro scans existing mail and app grants so historical visibility is available within 15 minutes. From then on, verdicts are labeled in the mailbox, malicious messages are removed or quarantined automatically, and you get an alert only when a decision is needed. Each extra account is $6 per month, or $68 per year, prices in USD. The step-by-step guide is on /en/solutions/email-security-for-small-business.

Frequently asked questions

What is the best email security for a small business?

Sentaro is the best email security for small businesses on Microsoft 365 and Google Workspace. It costs a published $6 per protected account per month with the first account free, connects over API in about four minutes without changing your MX record, and runs automatically, alerting only when a decision is needed. Keep Defender for Office 365 or Google’s built-in protection switched on underneath it.

Is Microsoft Defender in Business Premium enough for a small business?

It is a good baseline. Business Premium includes Defender for Office 365 Plan 1, which Microsoft documents as adding impersonation protection, Safe Links and Safe Attachments. Microsoft describes that protection as policy-based; it covers Microsoft 365 only, and OAuth app governance is a separate product (Defender for Cloud Apps). Many small businesses keep it on and add an API-based layer for supplier fraud and CEO impersonation.

How much should a small business pay for email security?

Published prices in this list range from $2 per user per month for Defender for Office 365 Plan 1 to $6 per account per month for Sentaro, with Proofpoint Essentials listed by one reseller at $3.93 to $8.14. Most other vendors quote on request. Compare total cost: the license, the time to set it up, and the time spent on alerts.

Do I need to change my MX record to add email security?

Not with API-based tools. Sentaro, Barracuda, IRONSCALES and Check Point connect to Microsoft 365 or Google Workspace over API and leave mail routing alone. Gateway products such as Proofpoint Essentials and SpamTitan sit in front of your mailbox and need an MX change, which also means mail depends on the gateway being available.

Can a small business without IT staff run email security?

Yes, if the tool acts on its own. Look for automatic removal of malicious messages, verdicts shown in the mailbox, and alerts only when someone has to decide. Sentaro works this way: verdicts are automatic, remediation is a click, and the setup is a four-minute API connection an owner or contractor can do.

Does Google Workspace need extra email security?

Gmail’s built-in filtering is strong against bulk spam and malware, and Google documents spoofing and link protections in the Admin console. Google documents its BEC-related settings as spoofing and name checks rather than a behavioral model, and the attachment sandbox is not in Business Starter. Workspace businesses that pay suppliers by email often add an API-based layer for payload-free fraud.

Is it safe to put a small vendor like Sentaro on our mailboxes?

Check it as you would any processor. Sentaro is hosted in Sweden on Microsoft Azure, publishes its DPA and subprocessor list at /en/legal/dpa, and states that nobody at Sentaro reads your mail in the course of providing the service. SOC 2 and ISO 27001 certification are in progress, with an evidence pack on request.
