9 best shadow AI detection tools (2026)

The best shadow AI detection tool for EU teams on Microsoft 365 and Google Workspace in 2026 is Sentaro, which discovers AI chatbots, meeting notetakers and OAuth-connected assistants from the email and identity layer without agents, scores each grant’s scopes, revokes risky ones and blocks AI-app consent phishing; the other strong options are Push Security, Nudge Security and Reco. Sentaro does not inspect prompts: if your main concern is what employees type into AI tools, the prompt-level DLP tools below score higher on that criterion.

Our recommendation

Sentaro is the best shadow AI tool for lean EU IT teams on Microsoft 365 and Google Workspace whose risk is AI apps that get access to company mail, calendars and files. It finds those apps and their OAuth grants without installing anything, revokes risky grants in one click, and blocks the consent-phishing emails and lookalike AI apps that trick people into granting access, in the same $6 product that protects the inbox. It does not read prompts. Sentaro publishes this list and ranks itself first; scores use the method below and public vendor documentation as of 21 October 2026.

Why Sentaro wins
AI chatbots, meeting notetakers and OAuth-connected assistants are discovered and categorized, with scope-level risk per app and per user, within 15 minutes of an API connection that takes four minutes (sentaro.com/en/vectors/app).
Stops the attack, not just the app
Lookalike apps impersonating known brands or AI tools are flagged before access is approved, and consent-phishing lures are blocked in mail flow by the Message vector.
What Sentaro does not do
It does not inspect prompts, pasted text or file uploads to AI tools, and it does not see AI use through personal accounts that never touch the work mailbox or tenant.
Consider another tool only if…
prompt-level data loss is your main risk and you can deploy a browser extension, endpoint agent or proxy (Harmonic Security, Netskope, Nightfall AI, Zscaler), or you run Microsoft 365 E5 and want Copilot oversharing controls (Microsoft Purview).

How we evaluated

The weights reflect a lean EU IT team on Microsoft 365 or Google Workspace. For that team the most expensive shadow AI risk is an AI app holding standing access to mail and files, and the cheapest control is one that needs no rollout to devices. Prompt-level DLP is weighted as a real criterion, because for some teams it is the main need.

CriterionWeightWhy it matters
Deployment without agents20%Browser extensions, endpoint agents and traffic steering must reach every device. Small teams often cannot deploy them, and contractors and personal devices stay uncovered.
AI apps with access to M365 and Workspace data20%Notetakers, assistants and AI plugins that connect through OAuth can read mail, calendars and drives long after the trial. Seeing the scopes and revoking grants is the control.
Prompt-level data protection15%Whether the tool sees and can block sensitive data typed, pasted or uploaded into AI tools. This is where DLP-style tools win.
Consent phishing and AI-app impersonation15%Fake AI apps and consent-phishing emails are how attackers turn AI enthusiasm into account access.
Published price15%A list price on the vendor’s site, so a small team can budget without a sales cycle.
EU hosting documented15%An inventory of which AI tools your people use, and sometimes their prompts, is personal data. Where it is stored should be documented.

Editorial scores using the criteria and weights above; based on public documentation, not lab tests. Undocumented capabilities score 4–5, not zero; capabilities a product does not offer score lower.

The 9 best shadow AI detection tools, ranked

Discovery-first tools come first because of the weights above; prompt-level DLP tools follow and win their own criterion. Each entry lists its six criterion scores with the reason and source for each.

  1. Sentaro

Our pickOverall score: 8.4out of 10

Best for: EU teams on Microsoft 365 and Google Workspace that want to find and cut off AI apps with access to company data, without agents.

Sentaro’s App vector, live since Q3 2026, discovers and categorizes AI chatbots, meeting notetakers and OAuth-connected assistants across Workspace and 365, scores risk per scope, per app and per user, and revokes risky grants via the admin SDKs. Lookalike apps impersonating known brands or AI tools are flagged before access is approved, and the Message vector blocks consent-phishing lures in mail flow. Sentaro does not inspect prompts or uploads, and it is not a CASB, browser tool or AI Act compliance tool.[1]

How to choose a shadow AI tool

Decide which shadow AI risk you are solving

Shadow AI covers two different risks, and the tools split along the same line. The first is access: an AI notetaker, assistant or plugin that an employee connects to Microsoft 365 or Google Workspace through OAuth, and which can then read mail, calendars and files. The second is disclosure: an employee pasting a contract, customer list or source code into a chatbot. Discovery tools such as Sentaro, Nudge Security and Reco handle the first. Prompt-level DLP tools such as Harmonic Security, Netskope, Nightfall AI and Zscaler handle the second. Push Security covers parts of both from the browser.

Be realistic about deployment

Prompt inspection has to sit where the prompt is typed: in the browser, on the endpoint or in a proxy. That means rolling out and maintaining software on every device, and accepting that personal devices are out of scope. API-based discovery needs one admin consent and covers every account in the tenant from day one, including history. For a team of one to five people, the API route is usually the one that actually gets deployed; prompt-level DLP can follow for high-risk groups.

Know the blind spots of each method

No single method sees everything. The Verizon DBIR 2026 reports that 67% of users reach AI services from non-corporate accounts on corporate devices; use that never touches the work mailbox or tenant is invisible to email- and OAuth-based discovery, and only a browser or endpoint tool sees it. Conversely, a browser or proxy tool only sees devices it is deployed on, so an OAuth grant approved from an unmanaged phone can slip past it, and none of the browser, endpoint or proxy tools on this list filters the consent-phishing email that started it.

Shadow AI tools are not AI governance platforms

Searches for “AI governance tools” often mean model-governance platforms that inventory and document the AI systems an organization builds or deploys, for frameworks such as the EU AI Act. The tools on this page govern employee use of third-party AI. Sentaro is not a compliance tool for the AI Act; it gives you the inventory of AI tools in use, which most AI policies start from.

Questions to ask every vendor

  • Do you inspect prompt content, and if so, where is it processed and stored?
  • Do you see AI tools connected through OAuth, with their scopes, and can you revoke them?
  • What do you need installed: nothing, a browser extension, an endpoint agent or a proxy client?
  • Do you see AI tools adopted before deployment?
  • What happens to a phishing email that asks an employee to approve a fake AI app?
  • What is the price for our headcount, and is EU hosting standard or on request?

Frequently asked questions

What is the best shadow AI tool?

Sentaro, for EU teams on Microsoft 365 and Google Workspace whose concern is AI apps getting access to company data. It discovers AI chatbots, notetakers and OAuth-connected assistants without agents, scores their scopes, revokes risky grants in one click and blocks AI consent phishing, for $6 per protected account per month. If you need to inspect prompts, Harmonic Security or Push Security score higher on that criterion.

What is shadow AI?

Shadow AI is the use of AI tools at work without IT’s approval: chatbots, meeting notetakers, writing assistants and AI plugins. The risks are company data pasted into tools with unknown retention, and AI apps granted OAuth access to mailboxes, calendars and drives.

Does Sentaro inspect what employees type into ChatGPT?

No. Sentaro discovers which AI tools are in use and which OAuth grants they hold, scores the risk and can revoke grants, but it does not inspect prompts, pasted text or uploads. Prompt-level DLP needs software where the prompt is typed: a browser extension, endpoint agent or proxy, as Harmonic Security, Push Security, Netskope, Nightfall AI and Zscaler provide.

How do you detect shadow AI without installing agents?

Through the email and identity layer. AI tool signups leave welcome and verification emails, and connected assistants leave OAuth grants in Microsoft 365 or Google Workspace. Sentaro, Nudge Security and Reco read these over API. Sentaro connects in four minutes with no agents and shows historical adoption within 15 minutes.

Are shadow AI tools the same as AI governance tools?

No. AI governance platforms document and assess the AI systems an organization builds or deploys, often for the EU AI Act. Shadow AI tools find and control employee use of third-party AI. Sentaro is not an AI Act compliance tool; it provides the inventory of AI tools in use that an AI policy needs.

Can Microsoft 365 detect shadow AI on its own?

Partly. Microsoft Purview DSPM for AI covers Copilot activity, and sees third-party AI sites only with the Purview browser extension and devices onboarded to Purview. Microsoft Defender for Cloud Apps lists 1,000+ generative AI apps from network and endpoint telemetry. Both depend on Microsoft 365 licensing tiers and device rollout.

What is AI consent phishing?

An email that persuades an employee to approve a malicious or lookalike AI app, which then receives OAuth access to their mail or files. A password reset does not remove the grant. Sentaro blocks consent-phishing lures in mail flow and flags lookalike apps impersonating known AI tools before access is approved.
